Privacy Policy

Our Philosophy

It is the policy of the Michigan State University Orange County Alumni Club, Inc (hereinafter the "MSUOCAC") to never willfully disclose or reveal personal identifying information about its members to the general public, without the members’ consent and only collect information about you during the Registration Process. Below is a detailed explanation as to how that information is handled and used by us in order to keep your safety a priority. By accepting the Terms of Use you consent to such use and disclosure of your information.

Purpose.
This website is designed as a mean of communicating, promoting and supporting the activities of the MSUOCAC and Michigan State University. By no means is anyone listed on this website or associated with the MSUOCAC liable for the information communicated on the website.

Our Approach to Privacy. The MSUOCAC respects your privacy. The information you provide enables us to give you updates about the MSUOCAC and related activities. We use technology and agreements in an attempt to protect any personally identifiable information that you provide (like your name, birthday, phone number and Email address). You should not receive any unauthorized Email or postal mail from third parties as a result of giving information to the MSUOCAC. Please keep in mind that whenever you voluntarily disclose personal information in any of the MSUOCAC's public areas (such as Forum, Message Board or Guestbook) your information can be collected and used by others.

Membership. All visitors to the site are invited to register. Registration does NOT automatically make you a member of MSUOCAC. To become a member you must “join” the MSUOCAC and pay a membership Activity Fee, unless said fee is waived.

Membership and Email. When you register with MSUOCAC, we ask for information about you and your interests. At a minimum, we require an Email address, your name (maiden name if applicable), address, zip code, Class Of and relationship (affiliation) to the school (current student, alumni, friend, , staff  member, supporter or other). We also would like your phone number. The more information you volunteer, the more we can tailor the site to your interests and provide you with information about MSUOCAC related activities. By registering, you authorize us to send you Email updates and information about MSUOCAC.

Opt-Out. When you Register with MSUOCAC, and at any time thereafter, you have the ability to "opt-out" of some uses of your information. You may cancel your registration at any time by contacting us at membership@michiganstate.org.

Updating Your Information. To update your personal information, please use the registration page.

Information Collected and how it will be used: 

If you choose to provide us with personal information – as in an Email to us or someone else, or by filling out a form with your personal information and submitting it to us through our web site – we use that information to respond to your message and to help us get you the information you have requested. The individual profile created by filling out the form on our Registration page is voluntary, and some of that information is accessible through our inquiry pages to the general public. The personal data that is accessible depends upon the Release Levels (see section on Security below) you set when you register. MSUOCAC does not collect information for commercial marketing or to give it to any private organizations.

Participating in Forums:
To participate in our online Forums or Message Board we request your register for the Forum or Message Board separate from registering with MSUOCAC. When you register in a Forum or Message Board we request a first name, last name and Email address which is used to validate your registration. When sending Emails to a member of the Forum or Message Board, or if the Forum or Message Board sends an Email, only the user’s login name is disclosed. The Email address is not disclosed.

Please note that information or statements that are volunteered while participating in the MSUOCAC Forums or Message Boards will not be treated as confidential and may be posted on MSUOCAC’s website. In certain Forums or Message Boards you will not be able to change or remove any public postings made once posted. All submissions will become the property of MSUOCAC. Please review the Terms of Use for more information about making submissions to MSUOCAC Forums or Message Boards. MSUOCAC does not maintain a record of any of the information collected through such activities in retrievable form, nor does MSUOCAC share the information with any private or public organizations.

Privacy Warning:
Email is not a secure medium. Personal information sent via the Internet can be intercepted. You may, therefore, wish to reconsider the advisability of sending messages that contain sensitive, personal information to this Intranet address.

If you believe that your personal information is being used for a purpose other than what was intended when submitted, you may send an message using the Email address as shown in the Contact Information Section of this statement.

Use of Cookies. The MSUOCAC may use a process to track use of our site which involves a "cookie" (a file placed upon your computer). This cookie helps us track the frequency of use and lets us recognize you when you come back to our site. In order to implement new features, we may use other types of cookies as well to track use on our MSUOCAC site or sites that are directly linked from this site only.

Links from MSUOCAC to Other Websites
The MSUOCAC Privacy Policy addresses only the use and disclosure of information we collect from you on MSUOCAC’s website. When you link to the website of a third party, by clicking on a link to an outside website, your use of those websites will be subject to the privacy policies of these third parties, which may differ from MSUOCAC’s Privacy Policy.

Service Providers. The MSUOCAC may share non-personal, aggregate, or summary, information regarding our users with affiliates, service providers or other third parties. This kind of information does not identify you individually. We contract with others (specifically our website hosting service) to provide some MSUOCAC Services. In these cases, the service providers may need to have access to some of our member data. We take care to require that our service providers only use our member's data as necessary to provide the particular service and have no rights to use the personal information of our members for any other purpose.

Security Policy:
Please keep in mind that whatever you publicly disclose online - for example, in a chat or through Email - can be collected and used by others, and any Internet transmission you make may be unlawfully intercepted by third parties. No data transmission over the Internet can be guaranteed to be completely secure. While we take reasonable measures to protect your personal information, MSUOCAC cannot warrant the security of any information you transmit to us and you do so at your own risk. In addition, MSUOCAC may disclose information to law enforcement or other government officials if we determine such disclosure to be necessary or appropriate, or if we are compelled to disclose it by court order or operation of law.  The MSUOCAC will use diligent efforts to protect the security and integrity of the information you provide to us once it is received on our systems. Unfortunately, when you submit information about yourself to the MSUOCAC over the Internet, the information may travel over many systems that are not under the control of the MSUOCAC. The Internet is not 100% secure and others may intercept the information that you are sending.

Release Level

The MSUOCAC website’s registration database has seven sections of personal information:

  1. Basic information
  2. Education
  3. Mailing address, home data
  4. Work and occupational data
  5. Marital status
  6. Military service
  7. General information (hobbies, interests, sports)

Basic information, first name, last name, maiden name (if applicable), graduating class year and affiliation (alumni, parent, friend, student, staff or other) are "public" information and are subject to release to the "public". All other sections are considered "private" in nature and access can be restricted to this information at the time of registration, or at any time thereafter. You may set the release level for all the sections of personal information by setting the Access Level; Public, Members Only or Board Only.

Note that the Club does NOT publish addresses, email addresses, home or work phone numbers without specific approval of the member, which is the purpose of the using “Release Levels”.

If you select one of he following release or access levels, the following table describes how the Club will treat the information in those fields indicated as subject to the release lever (indicated on the registration page with a plus (‘+’) sign:

Public

Member information is considered “Public” in nature and may be released or “published” without restrictions. This is the most open of the three release levels.

Members Only

Member information will ONLY be released to other MEMBERS. It will NOT be published to the general public. Members are identified as registered  and current and they must be either current students, alumni, or staff members (faculty). They will be required to either logon to their account on the website or make a request to the Club to view or obtain this information.

Board Only

Member information is the most restricted. The Board of Directors, Officers and official committees (such as the membership committee) are the only people that will have access to your personal information.

 

If a request is made for member information that is at this release level, the Club will evaluate the request for appropriateness of use by guidelines adopted by the Board and will either forward the requests to or contact the member for permission to honor the request .

What are other users allowed to do with my information?

The Club does not allow you to access other users' Email address, address, phone number or other personal information directly, without your permission. The site provides functionality that allows users to communicate with each other without disclosure of this information. Please note that each time a user uses one of these facilities, the transaction is recorded. By accepting our Terms of Use you agree to respect other member’s information that you obtain through our site. The MSUOCAC, and its contractors and partners, grants you a license to use such information only for MSUOCAC related communications that are not unsolicited commercial messages. It is strictly prohibited for you to disclose personally identifiable information about another user(s) to any third party without consent from the MSUOCAC and the other user(s). No one is authorized to add an MSUOCAC member to his/her mailing list (Email or regular mail) without that member's consent. The MSUOCAC reserves the right to remove anyone who willingly uses the communication services provided here for an illegal or inappropriate purpose, without refund. Inappropriate use includes, but is not limited to, the transmission of unsolicited messages, adult material and language. This includes posts to the Message Board.
